An explanation of managing media files
It is easy to upload, manage and use any form of media in StoryFlow. Add ambient sound, tutorial videos, or instructive images to enhance the experience and the usability of the training.
How Media is used in StoryFlow
When you first enter a virtual environment, it can look incredibly real…but sound incredibly silent. Being able to add ambient sound, a narrator's voice or mood-setting music takes the experience from good to great. 3D scenes become interactive once content like media is added to scripts.
Media in StoryFlow can include icons, sounds, audio, voiceovers, video, and images.
Location of Media Collections
You can find your Media content in two locations in StoryFlow. Within the Main Dashboard and via the Media Shortcut Icon.
When viewing your Project screen, click the Media link to access your content. This is a collection of ALL media that is in StoryFlow. Note that media cannot be used in a script unless it is added to a catalog first. We'll discuss that in Media's role in Catalogs later in this article.
When viewing your Media content from the Main Dashboard you have the following options:
- Text to Speech - a fantastic feature that allows you to create voiceovers to use in the scene, or as a placeholder until custom recording is uploaded.
- Upload - allows you to upload files individually or in bulk. See Creating Media later in this article for more information.
- Search - quickly find the content you want.
- Display - the ability to change the display from a condensed list to tiled images.
- Filter - filter the results to one type of content:

On the far right of the screen, you will find the Media icon. When you click on it, you will see your Media Catalogs. This is different from the main Media area on the dashboard that shows you all Media - whether they are in a catalog or not:
Media's role in Catalogs
As mentioned, in order to pull Media into scripts you must add them to a Catalog first. There is a specific Catalog Type for media, called Media Items.
When you add content to StoryFlow it’s important to use the correct and consistent type of catalog type. As you design your script you will incorporate resources that use a specific type of content and will look to the appropriate catalog type to draw content from. When you add items to a category type, you only get an editor with fields specific to that content type in question.

- From Main Dashboard, open Media
- Click on Upload
- Click on the field to open your computer's files or drag and drop content in. You will see a progress bar to indicate status. In the event that a file with the same name exists, you will see a notification:
- If you want to use the Media in a script, ensure it is added to a Catalog.
You can upload individual files or save time by uploading a folder or multiple files at once to Media by drag and dropping the folder from your computer's folder to the screen:

(Rename or replace an item)
Once an item has been added to a catalog, you can rename and/or replace the item.
Open Catalogs from Main Dashboard, Find Catalog containing media item, Double-Click to open catalog, Click on the item, Make changes, Click Save:
These are media items that have been added to Media Catalogs.
Click on Media Icon, Open appropriate Catalog, Click on the edit icon next to the media item,
Make changes, Click on the checkmark to Save or X to exit:
Open Media Main Dashboard, Click on the item to delete, Choose Delete.
*If you delete media from the Media Main Dashboard, it will be permanently deleted.
Click on the Media icon, Click on Catalog that has the item, Click on the trash can next to the item:
*If you delete a media item from the Media Shortcut icon it simply removes the item from that catalog. However, the item will still exist in the Media Dashboard to use again. To permanently delete media items, delete them from the Media Main Dashboard.
